Question details
Costs for host organization
Work Package 2- page 9 states the following. " The contractor has to liaise with the host organization to agree on all practical organization aspects such scope, program, timing, venue and sharing of costs. The host organization should in particular cover the costs of provision of event premises." Does this mean that matched funding (or funding in kind) is required by the hosting institution in terms of providing event premises- possibly requiring them to pay for a venue if they are not able to host the laboratory within their premises?
03/10/2014
The potential host should be an institution which can provide a suitable venue at their premises or premises to which they have access. Please note that a venue does not necessarily have to be a classic conference venue. It can be a Chamber or other intermediary organization willing to host the event. Where conference facilities are not already offered at the venue, the contractor will be responsible for ensuring that they are available for the duration of the laboratory at a competitive price (see Work package 3, task 1). As explained at point 2.9.3 of the tender specifications – section 3 Financial offer, only expenses for travel, accommodation, conference facilities, catering and any other costs considered appropriate under packages 3 will be reimbursed. (see also point 2.2. Volume of the market). Finally, costs for eventual renting of the venues, should not be added to the budget for this tender.
