Number of meetings between contactors and EU
Can you clarify the total number of face to face meetings you expect between the contractor and the EU? Section 1.2.1.2 describes Progress meetings being held ona 3 monthly basis, i.e. 7 meetings over 24 months, excluding the KOM. Are these face to face? Section 1.3.1 describes the number of meetings with presence must equal number of milestones (7). Are these the same meetings? The progress report timetable does not align with all the Deliverables. If they are different how many need to be "with presence" i.e. face to face?

Progress on the activities is regularly assessed at the occasion of a meeting in order to present the status of the work and steer the next period; in addition, formal reviews are to be organized at project milestones to validate the work done so far and authorize the start of the subsequent activities. Therefore, and as far as practical, in order to avoid the multiplication of meetings, progress meetings will in most cases take place at the same time as a formal milestone review. The number, pace and schedule of meetings to be organized between the contractor and the Project Officer is given (in sections 1.2.1.2 and 1.3.1) only as indications to the bidders and correspond to the expected effort to be devoted to reporting/reviewing. Nevertheless, bidders are allowed to depart from these indications, depending on the proposed work plan. These meetings have to be understood as meetings with presence, and not simply teleconference. Teleconference and other similar means will be used for additional technical and managerial coordination.
