Tasks to be covered under scenario 2
We note that in the scenario for WP2, the main tasks listed exclude a series of standard tasks listed in the requirements for WP2. A strict reading of the scenario tasks suggests that booking of accommodation, venues and travel, a number of categories of local suppliers and services, support with visas are outside the scope of the scenario and should not be covered in our methodology. Please (a) confirm this and (b) that the number of person/days in Annex 5 should therefore only reflect fulfilment of the tasks specified in the scenario.

Tenderers should stick to the tasks in the below list described under point 1.4.2 of the tender specifications: "Tasks The main tasks will consist in the following actions: Before the Mission: • Manage the open call for participants, analysis of the candidates and selection, in agreement with the Commission, of those to participate in the different events. • Provide delegates with political, economic and cultural information on the visited country (a Mission information pack) both by email and by normal mail. • Phone and email companies to identify any practical concerns that need to be addressed. During the Mission: • Receive delegates at airport, transfer to the hotel, ensuring an information desk during the visit at the hotel, providing delegates when necessary with transport/ transfers time schedules and other useful information. After the Mission: • Contact the companies to assess the level of satisfaction with the Mission and identify any follow-up issues and suggestions. Under a future real life event, further tasks and staff might be needed but they can be picked from the staff categories mentioned under the tender scenario 2."
